1          Employee Progress

 

The employee progress module enables management to manage and keep track the employee’s progress from recruitment right up to resignation/termination and also staff who rejoin the organization.

This module covers the following processes:

§         Staff Confirmation

§         Extension of Confirmation

§         Salary Increment/Decrement

§         Promotion & Upgrading

§         Transfer Of Appointment

§         Termination & Resignation

§         Rejoin

§         Disciplinary Warning

 

1.1       Confirmation & Extension Probation

This function enables you to perform staff confirmation or extension of probation.

To Confirm an Employee:

1.    Select Employee Progress, then Confirmation & Extend Probation under the menu.

2.    Click on the radio button of the selected employee, then click Confirm.

3.    Enter the Confirmation Date or click on the Selection Icon to select required date.

4.    Click on the salary increment checkbox, if applicable.

5.    Click Save to accept entry or Cancel to abort.

 

 

6.    Perform the following steps if there is a salary increment:

i.      Select the Salary Increment type.

ii.    Enter the Effective Date or click on the Selection Icon to select the required date.

iii.   Enter the new salary.

iv.  Enter the remark if required.

v.    Click Save to accept entry or Cancel to abort the process.

 

      

 

To Extend an Employee’s Probation:

1.    Select Employee Progress, then Confirmation & Extend Probation under the menu.

2.    Click on the radio button of the selected employee, and then click Extend.

3.    Enter the Extension Date.

4.    Click Save to accept entry or Cancel to abort.

 

To Print/E-mail Confirmation Letter to an Employee:

1.    Select Employee Progress, then Printing Confirmation Letter under the menu.

2.    Click on the radio button of the required employee, then click Letter

3.    To preview the letter click Preview.

4.    To e-mail the letter to the employee click Send.

5.    To print the letter click Print.

6.    Click Cancel to abort.

 

 

In order to Preview the Confirmation letter, the staff’s address must not be left blank. It must be set in the Admin-> Staff Setup.

 

To Print/E-mail Probation Extension Letter to an Employee:

       1.  Select Employee Progress, then Printing Probation Extension Letter under the menu.

       2.  Click on the radio button of the required employee, then click Letter.

 

3.  To preview the letter click Preview.

4.  To e-mail the letter to the employee click Send.

5.    To print the letter click Print.

6.    Click Cancel to abort.

     

 

In order to Preview the Probation Extension letter, the staff’s address must not be left blank. It must be set in the Admin-> Staff Setup.

1.2       Others Probation Confirmation

This function enables you to perform other staff confirmation or extension of probation. (For promotion and upgrading staff)

 

To Confirm an Employee:

1.    Select Employee Progress, then Others Probation Confirmation under the menu.

2.    Click on the radio button of the selected employee, then click Confirm.

    

To Extend an Employee:

1.    Select Employee Progress, then Others Probation Confirmation under the menu.

2.    Click on the radio button of the selected employee, then click Extend.

 

To Print/E-mail Others Probation Extension Letter to an Employee:

       1.  Select Employee Progress, then Printing Others Probation Extension Letter under the menu.

       2.  Click on the radio button of the required employee, then click Letter.

 

3.  To preview the letter click Preview.

4.  To e-mail the letter to the employee click Send.

5.                   To print the letter click Print.

6.                   Click Cancel to abort.

1.3       Salary Increment/Decrement

This function enables the departmental managers to propose a salary increment/decrement for their subordinate. The salary increment/decrement record will be routed to the approvers for approval, unless auto-approval function is activated in the backend user level sub module.

 

To Increment/Decrement an Employee Salary:

1.                Select Employee Progress, then Salary Increment/Decrement under the menu.

2.                Click Add.

3.                Enter the Staff ID or click on the selection icon to select from the pop-up window.

4.                Click Next to proceed or Cancel to abort the process.

5.                Select the salary adjustment type.

6.                Enter the Effective Date or click on the selection icon to select the required date.

7.                Enter the new salary amount.

8.                Enter the reason for the salary adjustment.

9.                Click Save to accept entry or Cancel to abort the process.

10.            The record will be send to approver(s) for approval after Save button is click.

 

 

To view employee’s salary details:

1.    Select Employee Progress, then Salary Increment/Decrement under the menu.

2.    Click on the radio button of the selected employee, and then click Detail.

3. Click Letter to send as e-mail and print the letter, Edit to edit salary increment/ decrement details and Back to back to previous page.

 

In order to Preview the Salary Increment letter, the staff’s address must not be left blank. It must be set in the Admin-> Staff Setup.

 

To delete employee’s salary details:

1. Select Employee Progress, then Salary Increment/Decrement under the menu.

2. Click on the radio button of the selected employee, and then click Delete.

 

    

 

Salary Increment/Decrement Approval

This function enables the HR manager to approve or reject the proposed salary adjustment. 

To Approve Increment/Decrement an Employee Salary:

1.    Select Employee Progress, then Salary Increment/Decrement Approval.

2.    Click on the Staff ID.

     

3.    Click Approve to approve or Reject to reject the proposed salary adjustment or Cancel to abort the process.

 

 

Salary Increment/Decrement Approval can also be done by clicking on the hyperlink in the inbox shown below.

 

 

 

 


1.4       Promotion & Upgrading

This function enables the departmental managers to propose a promotions and upgrading for their subordinate. The promotion and upgrading record will be routed to the approvers for approval, unless auto-approval function is activated in the backend user level sub module.

 

To Promote & Upgrade an Employee:

1.    Select Employee Progress, then Promotion & Upgrade and click Add.

2.    Enter the Staff ID or click on the selection icon to select from the pop-up window.

3.    Click Next to proceed or Cancel to abort the process.

4.    Select the Promotion/Upgrade Type.

5.    Enter the Effective Date or click on the selection icon to select the required date.

6.    Select the new Job Grade, and select the new Position.

7.    Enter the Promotion/Upgrade Remark.

8.    Click Save to accept entry or Cancel to abort the process.

9.    The record will be send to approver(s) for approval after Save button is click.

 .

 

To view employee’s Promote & Upgrade details:

1. Select Employee Progress, then promotion and upgrading under the menu.

2. Click on the radio button of the selected employee, and then click Detail.

       

 

To delete employee’s Promote & Upgrade details:

1. Select Employee Progress, then promotion and upgrading under the menu.

           2. Click on the radio button of the selected employee, and then click delete.

        

 

Promotion & Upgrading Approval

This function enables the HR manager to approve or reject the proposed promotion/upgrading. 

To Approve an Employee Promotion & Upgrading:

1.    Select Employee Progress, then Promotion & Upgrading Approval under the menu.

2.    Click the Staff ID.

     

3.    Click Approve to approve or Reject to reject the proposed employee promotion/upgrade or Cancel to abort the process.

 

Promotion and Upgrading Approval can also be done by clicking on the hyperlink in the inbox shown below.

 


1.5       Transfer of Appointment

This function enables you to request for a transfer of staff’s position and organization unit. The transfer of appointment record will be routed to the approvers for approval, unless auto-approval function is activated in the backend user level sub module.

 

To Transfer a Staff Appointment:

1.    Select Employee Progress, then Transfer of Appointment under the menu.

2.    Click Add.

   

3.    Enter the Staff ID or click on the selection icon to select from the pop-up window.

4.    Click Next to proceed or Cancel to abort the process.

5.    Enter the Group to transfer to.

6.    Enter the Company to transfer to.

7.    Enter the Branch to transfer to.

8.    Enter the Division to transfer to.

9.    Enter the Department to transfer to.

10.               Enter the Section to transfer to.

11.               Enter the Team to transfer to.

12.               Enter the Remarks.

13.               Click on the promotion and upgrading checkbox if it is applicable.

14.               Click Save to accept entry or Cancel to abort the process.

15.               The record will be send to approver(s) for approval after Save button is click.

 

 

 

 

 

To view employee’s transfer of appointment details:

          1. Select Employee Progress, then transfer of appointment under the menu.

          2. Click on the radio button of the selected employee, and then click Detail.

 

 

To delete employee’s transfer of appointment details:

           1. Select Employee Progress, then transfer of appointment under the menu.

           2. Click on the radio button of the selected employee, and then click Delete.

 

 

 

 

 

 

 

 

 

 

 

Transfer of Appointment Approval

This function enables the department manager HR manager to approve or reject the proposed transfer of appointment. 

To Approve a Transfer of Appointment:

1.    Select Employee Progress, then Transfer of Appointment Approval under the menu.

2.    Click the Staff ID.

        

3.    Enter the approval or rejection remark.

4.    Click Approve to approve or Reject to reject the proposed transfer of appointment or Cancel to abort the process.

 

Transfer of Appointment Approval can also be done by clicking on the hyperlink in the inbox shown below.

 

 

 

1.6       Termination & Resignation

This function enables the departmental managers to update a staff termination or resignation to HR system. The termination and resignation record will be routed to the approvers for approval, unless auto-approval function is activated in the backend user level sub module.

 

To Update Staff Termination or Resignation:

1.    Select Employee Progress, then Termination & Resignation under the menu.

2.    Click Add.

     

 

3.    Enter the Staff ID or click on the selection icon to select from the pop-up window.

4.    Click Next to proceed or Cancel to abort the process.

5.    Select the Type and enter the Effective Date or click on the selection icon to select the required date.

6.    If company property has been recovered from the employee, click on the radio button.

7.    If the employee is eligible for rehiring, click on the radio button.

8.    Select the reason for the termination or resignation.

9.    Click Save to accept entry or Cancel to abort the process.

10.               The record will be send to approver(s) for approval, after Save button is clicked.

 

      

1. Click View disciplinary warning history to view the records of warning history of a particular staff.

2. Click Checklist to print or export the notice of staff resignation/ termination.

 

 

To view employee’s termination and resignation details:

             1. Select Employee Progress, then Termination and Resignation under the menu.

             2. Click on the radio button of the selected employee, and then click Detail.

 

To delete employee’s termination and resignation details:

             1. Select Employee Progress, then termination and resignation under the menu.

             2. Click on the radio button of the selected employee, and then click Delete.

 

Termination & Resignation Approval

This function enables the HR manager to approve or reject the termination or resignation request. 

 

To Approve a Staff Termination/Resignation:

1.    Select Employee Progress, then Staff Termination & Resignation Approval under the menu.

2.    Click on the Staff ID.

 

3.    Enter the approval or rejection remark.

4.    Click Approve to approve or Reject to reject a staff termination or resignation or Cancel to abort the process.

 

Termination and Resignation Approval can also be done by clicking on the hyperlink in the inbox shown below.

 


1.7       Rejoin

This function enables the departmental managers to allow the terminated or resigned subordinate to rejoin the company. The rejoin record will be routed to the HR manager for approval, unless auto-approval function is activated in the backend user level sub module.

To update record of staff who has rejoined the company after termination/resignation: 

1.    Select Employee Progress, and then Rejoin under the menu.

2.    Click Add.

3.    Enter the Staff ID or click on the selection icon to select from the pop-up window.

4.    Click Next to proceed or Cancel to abort the process.

5.    Enter the Effective Date or click on the selection icon to select the required date.

6.    Enter the Remark.

7.    Click Save to accept entry or Cancel to abort the process.

 

To view employee’s rejoin details:

          1. Select Employee Progress, and then Rejoin under the menu.

          2. Click on the radio button of the selected employee, and then click Detail.

 

To delete employee’s rejoin details:

           1. Select Employee Progress, and then Rejoin under the menu.

           2. Click on the radio button of the selected employee, and then click Delete.

 

1.8       Rejoin Approval

This function enables the HR manager to approve or reject the request for the employees to rejoin the company. 

To Approve an Employee to Rejoin the Company: 

1.    Select Employee Progress, and then Rejoin under the menu.

2.    Click the Staff ID.

3.    Enter the approval or rejection remark.

4.    Click Approve to approve or Reject to reject the request to rejoin the company or Cancel to abort the process.

1.9       Disciplinary Warning

This function enables managers to issue and keep track employee’s disciplinary warning.

The disciplinary warning record will be routed to the HR manager for approval, unless auto-approval function is activated in the backend user level sub module.

 

To issue a disciplinary warning notice to an employee:

1.    Select Employee Progress, then Disciplinary Warning under the menu.

2.    Click Add.

    

3.    Enter the Staff ID or click on the selection icon to select from the pop-up window.

4.    Click Next to proceed or Cancel to abort the process.

5.    Select the reason for the disciplinary warning.

6.    Enter the remark.

7.    Click Save to accept entry or Cancel to abort the process.

 

To view employee’s Disciplinary Warning details:

           1. Select Employee Progress, then Disciplinary Warning under the menu.

           2. Click on the radio button of the selected employee, and then click Detail.

 

To delete employee’s Disciplinary Warning details:

            1. Select Employee Progress, then Disciplinary Warning under the menu.

            2. Click on the radio button of the selected employee, and then click Delete.

To duplicate employee’s Disciplinary Warning details:

            1. Select Employee Progress, then Disciplinary Warning under the menu.

            2. Click on the radio button of the selected employee, and then click Copy.

Disciplinary Warning Approval

This function enables the HR manager to approve or reject the disciplinary warning request. 

To Approve a Staff Disciplinary Warning:

1.    Select Employee Progress, then Disciplinary Warning Approval under the menu.

2.    Click on the Staff ID.

3.    Enter the approval or rejection remark.

4.    Click Approve to approve or Reject to reject a disciplinary warning issued to a staff or Cancel to abort the process.

5.    The records will be sent to approver(s) for approval after the record is approved.

 

 

Disciplinary Warning Approval can also be done by clicking on the hyperlink in the inbox shown below.

 

 

1.10     Reports

This function enables managers to track and monitor employee’s progress in details.

Click on each hyperlink to view the reports.
